Terms and Conditions

1. Acceptance of these terms

By registering for, accessing, or using ITech IMS, you agree to these Terms and Conditions and the Data Privacy Notice. If you use the system for a Host Training Establishment (HTE) or another organization, you confirm that you are authorized to act for that organization.

2. Purpose and authorized users

ITech IMS supports the internship program of the Polytechnic University of the Philippines Institute of Technology. Access is intended for authorized students, OJT advisers, OJT coordinators, HTE representatives, IT administrators, and other persons approved by PUP ITech.

You must provide accurate, current, and complete information and use the account type assigned to your actual role. Registration, HTE profiles, internship listings, and other records may be reviewed or approved before all features become available.

3. Account security

• Keep your password and verification codes confidential and do not share your account.
• Notify the appropriate PUP ITech coordinator or system administrator promptly if you suspect unauthorized access.
• You are responsible for activity performed through your account unless you have timely reported compromise.
• Do not attempt to access another person's account, role, records, messages, or files.

4. Acceptable use

You may use ITech IMS only for legitimate academic, internship, administrative, and support purposes. You must not:

• submit false attendance, DTR, application, identity, company, or internship information;
• upload malicious software or content that is unlawful, harassing, discriminatory, deceptive, or infringes another person's rights;
• scrape, probe, disrupt, reverse engineer, bypass security, or interfere with the system or its users;
• use personal data obtained through the system for unrelated marketing, solicitation, profiling, or disclosure; or
• share confidential student, personnel, HTE, application, message, or assessment records with unauthorized persons.

5. Records, documents, and communications

Users may submit profile details, applications, documents, messages, attachments, classwork, progress reports, DTR entries, proof images, announcements, and support reports. You retain responsibility for the accuracy, legality, and appropriateness of content you submit.

You authorize PUP ITech to store, reproduce, display, transmit, and otherwise process submitted content as reasonably necessary to operate the internship program, review compliance, maintain academic and administrative records, provide support, and meet legal obligations.

6. HTE listings and internship decisions

HTEs are responsible for keeping company profiles, opportunities, requirements, supervisors, and application decisions accurate and lawful. A listing or profile appearing in ITech IMS is not a guarantee of placement, compensation, accreditation status, continued availability, or suitability.

Applications, interviews, endorsements, approvals, and placements remain subject to University requirements, HTE review, available slots, and applicable agreements. Users must independently comply with internship rules and instructions issued by PUP ITech.

7. Privacy and confidentiality

Personal data is handled as described in the ITech IMS Data Privacy Notice, the PUP Online Services Privacy Statement, Republic Act No. 10173, and applicable National Privacy Commission issuances. Role-based access does not permit a user to disclose or reuse information beyond the purpose for which access was granted.

8. Intellectual property

The system's software, interface, branding, and University materials are protected by applicable intellectual property and other laws unless expressly stated otherwise. No ownership right is transferred to users. Third-party materials remain subject to their respective owners' rights and terms.

9. Availability and changes

PUP ITech may maintain, update, restrict, suspend, or discontinue any feature when reasonably necessary for security, operations, compliance, or program administration. While reasonable efforts are made to keep the system reliable and accurate, uninterrupted or error-free availability is not guaranteed.

10. Suspension and termination

Access may be limited or terminated for inaccurate registration, security risks, unauthorized activity, violation of these terms or University policy, completion or separation from the relevant internship program, or other lawful administrative reasons. Records may still be retained when required for academic, administrative, security, dispute-resolution, or legal purposes.

11. Responsibility and applicable law

To the extent permitted by law, users are responsible for harm caused by their unlawful use, false submissions, rights violations, or unauthorized disclosure of information. Nothing in these terms limits rights or responsibilities that cannot lawfully be limited.

These terms are governed by the laws of the Republic of the Philippines and applicable PUP policies, rules, and procedures.

12. Updates and contact

These terms may be updated to reflect changes in the system, internship procedures, University policy, or law. The updated version and effective date will be posted on this page. Continued use after an update constitutes acceptance where permitted by law.
